Every service below solves a problem I've handled as a community manager — not a capability looking for a use case. Organized by the problems associations actually have.
Everything here is something that can be built. Pricing covers the three stages of getting there — finding out what to build, building it, and keeping it defensible afterward.
These aren't demos. They're the two systems I build and deploy for associations today, designed around governing documents, legal deadlines, and the compliance exposure most vendors have never had to own.
A support page on your community website that answers homeowner questions from your governing documents — CC&Rs, rules, architectural guidelines — not generic HOA advice. Available around the clock, consistent every time, and it hands off to a human when the question needs judgment.
End-to-end architectural application intake — the process most likely to expose an association to selective-enforcement claims. ARCH Agent verifies completeness, validates neighbor signatures against the membership directory, sends specific deficiency notices, and tracks review deadlines. It never approves or denies; committees keep that authority.
Some associations need more than a page on a website. Community Concierge is a text-message service homeowners enroll in and use from their phones — a different product, run by a different company.
Homeowners sign up, then ask questions by text and get answers drawn from their association's own governing documents. It is not a page on your site and it is not something I build for you as part of a consulting engagement.
Your association contracts with Community Concierge directly and is billed by it directly. It never appears on an Association Pilot invoice and is never inside a consulting total.
A disclosure you're entitled to. Community Concierge is a separate company in which I hold an interest. I'm telling you because a recommendation should be weighed differently when the person making it has a stake in what he's recommending.
If your board would rather look at other options, say so and I'll help you evaluate them on the merits. If resident texting isn't a problem you actually have, I'll tell you that too.
Most engagements combine services from more than one area. The free paired assessment identifies which of these will actually move the needle for your association — and which would just be technology for its own sake.
The problem: the same twenty questions consume staff hours, and residents wait days for answers that live in documents they'll never read.
The problem: inconsistent ARC intake and missed deadlines create selective-enforcement and deemed-approval exposure.
The problem: managers spend their day on repetitive administration instead of the judgment calls only a human can make.
The problem: budget season and capital planning run on fragile spreadsheets, guesswork, and one person's institutional memory.
The problem: nobody reads the CC&Rs — then everybody argues about them.
The problem: your management software, email, spreadsheets, and portals don't talk to each other — so staff re-enter the same data everywhere.
A note on financial planning: these are AI-assisted modeling and forecasting tools that support your board, CPA, and reserve specialist. They are decision-support tools — not financial, accounting, or reserve-study advice, and not a substitute for those professionals.
A 200-unit self-managed association and a company managing forty communities have different problems. The services above get scoped differently for each — though what they cost depends on scope, not on how many doors you have.
You're volunteers doing a professional's job. Start with the workload eaters: resident support chatbots, education content, and financial planning tools that turn budget season from a fight into a conversation.
Usually starts with: the free assessment, then a Preflight Engagement or a Training Workshop.
You know exactly which tasks eat your day. ARCH intake, compliance letters, board packets, and the inbox. Agents and automation here buy back hours per week — without taking judgment calls away from you.
Usually starts with: Implementation Partner on one painful workflow.
Your leverage is portfolio-wide: one well-built agent deployed across every association you manage. Integration, standardization, and defensibility at scale — with per-association configuration for each community's governing documents.
Usually starts with: a portfolio-wide assessment; ask about portfolio pricing.
A 20-minute call is enough to tell you which of these services makes sense for your association right now — and which don't. If AI isn't a fit yet, I'll say so.
